The Work with AR Debtor Batches program is used by cashiers to validate their days takings received at their register by entering the total payments received in cash, cheques, credit card and vouchers which are all controlled by an active batch.
Balancing is used as an end of day process for the store, allowing each of the cashiers (or registers) to tally up their takings for the day. This function is used to change the status of a batch from “A” Active to “B” Balancing.
There must be a batch for that store in status “A” for trading to commence as each transaction / payment type for that day will be recorded against this batch. The batch is then changed from “A” to “B” when the store is ready to balance. The cashiers will then count the money in the till and tally up the total from each of the payment types to balance this batch for the day. This option is run before the cashiers enter the amounts received in their till via the Batch Entry option.
A report is generated to show the variances between the amount counted by the cashiers for their register and the daily sales produced by the register sales for the day. The report also displays any unders and overs which are entered in as variances and posted to a dummy account. Payments are recorded against the active batch for the location, with multiple entries against each payment type. The daily receipts are validated against the total payments received for the batch for each payment type.
The functionality has been designed to only allow one active batch to be open per store/location at any one time and ensures that the batch must balance with no variance before it can be closed.
The Batch Entry option will default the batch number and the operator details upon accessing the screen, eliminating any errors with entering incorrect batch details. This minimizes the possibility of errors and provides greater security when working with the balancing and closing of batches. An active batch for any location has to be closed or cut off for balancing before a new batch can be opened, otherwise an error message will display. A batch can be closed off when all payments have been keyed.
User access to the company for the AR batch (TMSAR/ARLOC) is checked and access can be restricted. TMSDS/POS-AUTH determines whether the user is authorised to Work with Batches and open/close batches.
