About Enrolment analysis

The enrolment data from the Line of Business (LOB) system are used to generate Order Forms.

The order form data are then used to generate the original and adjusted forecast by item. The original forecast is the straight conversion of enrolment data into forecast quantity by item while the adjusted forecast is the original forecast that has been modified based on the characteristics of the item and the school. Some of the attributes that affect the adjusted forecast are number of years the book has been in the market, whether the item is consumable or non-consumable, the school is near competitor or not, the school is primary or secondary, etc.

The adjusted enrolment data is adjusted by school and amended as required. Reservation orders by item by school are generated when the forecast are finalised.

Purchase orders are raised for the main warehouse and the various business units based on allocation definition by warehouse, the generated reservation orders, stock on hand in the warehouse, stock holding policy by warehouse, outstanding orders and the supplier lead time.

The following control files must be setup:

  • TMSDS/FCST-AGE defines the percentage take up by the number of years the book has been used.
  • TMSDS/OF-STYP defines the percentage take by subject type of core or elective.
  • TMSDS/ENL-ALLC defines which item classification is used to set-up the supply allocation by warehouse.
  • TMSDS/OS-RSVBN defines which customer (school) will be updated with their reservation order when the sales order is raised.

Process Flow

The original and adjusted forecast quantities are generated by running program Enrolment Data Build. The user will need to enter the calendar year that relates to the enrolment and the default delivery period that will be used if the first sell date on the enrolment data is blank. Enrolment analysis file stores the forecast data by item. Record types 1 and 2 are the original and adjusted forecast respectively.

Before the adjustment forecast quantities are reviewed by school, the user will need to define the stock allocation % by main warehouse and the business centres using stock allocation program. The stock allocation definition can be done by the various customer levels and by the item type of consumable and non-consumables within the selected customer level.

The adjusted forecast quantities are displayed, reviewed and amended by calendar year, school and item types of consumables and non consumables using Enrolment Forecast Maintenance. When the forecast quantities have been finalized, reservation orders are generated.

A PSI will be assigned to each warehouse. Suggested orders will be generated for each PSI type, which in effect each warehouse using the current PSI Suggested Order Generation Program. The suggested order quantities generated will take into account the current stock on hand in the warehouse, the stock holding policy, the outstanding orders, reservation quantities generated from Enrolment Forecast Maintenance previously and the supplier lead time.

Order indication report can be produced to list the suggested orders by supplier by period. The user can, at this point, still review and modify the suggested order quantities using the current PSI Maintenance panel prior to generating the PO’s.

When the suggested order quantities have been reviewed and finalised, the PO’s can be automatically generated by running PSI PO Generation.
