The pending orders review function is used to display, reject or approve pending orders. Pending reviews can be done automatically or manually. A combination of the two is usually used. If a transaction is approved, its status is updated from P = pending to A = active and sent to the data queue for picking, dispatching and invoicing. A rejected order stays in the system and can be copied or re-activated at a later date.
Access to pending orders is obtained by selecting orders in either Customer sequence or Document date sequence. The program will display the pending records even if user does not have authority over pending orders i.e. not setup in Pending Department/Users (Pending masterfiles). However the pending records can be accessed only by users authorised to review pended orders only.
There is an option to print a letter about a pending order without rejecting the order. TMSDS/PEND-LTR has a flag that determines whether the system will allow you to reject the order and send a letter or just send a letter.
Pending orders reserve stock so it is important to deal with these orders one way or another as soon as possible.
Orders that have been rejected from pending can be issued as quotations, without the need to re-key. The Duplicate rejected order function is available which copies the rejected order’s details and processes it as a quotation. Program will delete a subscription automatically once an order linked to a subscription is rejected.
Pending review can disallow approval of pending orders according to the approval flag set up in TMSDS/PEND-DSC for the pend code and it has user access restriction at order line level so users can not view restricted orders.
If payment due date is overridden by system (i.e. sales order flagged with text ‘payment term overridden’) then the sales order will not pend for pending reason ‘AE = Extended term overridden’.
Review pending orders
- In the menu, expand Base Modules > Distribution > Order Processing & Billing > Pending > General and double-click Pending Review. DSE025 Pending Order Review panel appears.

| Sequence | This sequence determines the format in which pending orders display on the Pending Orders Summary Review screen. The default is Customer, which displays the orders in customer sequence. If it is preferable to display the pending orders in date of entry sequence, select the Document date option. |
| Order priority | You can review and approve orders by order priority if required, default is super urgent orders. |
| Branch | This is an optional selection. The branch code represents the branch, for example, state with which the customer account is associated. Pending orders are usually reviewed by State. |
| Customer | Customer’s account code. The customer is an optional selection. |
| Debtor class | This is a code used to group a number of customers into a user defined classification and is an optional selection enabling pending orders to be reviewed by debtor class. |
| Billing number | This field represents the customer account number to which all financial transactions relate to. That is all invoices, claims, journals, statements, etc. This is an optional selection enabling pending orders to be reviewed by billing number. |
| Pending reason | Pending reason codes identify the reasons why an order is pending. This is an optional selection enabling pending orders to be reviewed by pending reason code. The pending reasons available for selection will only be those valid for the user who accessed this function. |
- Enter the above selection criteria as required.
- Click OK.

Review pending order details
- In the menu, expand Base Modules > Distribution > Order Processing & Billing > Pending > General and double-click Pending Review. DSE025 Pending Order Review panel appears.
- Enter the selection criteria as required.
- Click OK. List of customers with pending orders for the entered criteria appears.
- Select the order you wish to see the details for and click option Details. The details of the selected pending order is displayed.
