Buying Price Maintenance

The buying price is retrieved from the Buying Price File, for the calculation of budgets/forecasts and prices, based on its effective date. The effective/expiry dates can be manipulated during price simulation, causing the system to re-calculate all affected values. If the expiry date has come into effect, the buying price from the Item Masterfile is used.

There can be a number of pricing types set up, such as forecasting, normal, etc. which can be used appropriately. Pricing is defined at supplier level and therefore multiple buying prices can be maintained for a single Title. The prices themselves have effective from dates and so can be preloaded into the system.

The buying price can be uploaded from an excel file. The template for upload file (PUM155.xlsx) is supplied by Iptor.

Add a buying price

  1. In the menu, expand Base Modules Distribution > Masterfiles >Database Management Database Management > Item Masterfiles > Price & Discount and double-click IM Buying PricePUM155 Work with Buying Price selection panel appears.
  2. Key in the required selection fields click OK. PUM155 Work with Buying Price main panel appears displaying items and its descriptions.
  3. Select an item and click option Change.

Function Description 
Prc simulation Access Buying Price Retrieval panel which retrieves the cost of supplier titles based on specified criteria.
  1. To add a buying price manually click Add. PUM155 Buying Price Maintenance panel is displayed in add mode.

Function Description 
Cost update Updates the standard cost into masterfiles by calling DSM300B Inventory Cost Maintenance allowing direct access to the Inventory Cost maintenance program. TMSDS/DSM300 defines the default values for DSM300 Inventory Cost Maintenance.

Field Description 
Item The number is alphanumeric and is a Product code or Item code or a Item or International Standard Book Number (ISBN) that uniquely identifies an inventory item in the system.
Company This is the company to which the publisher belongs to.
Per This is the number of units per unit cost. The battery could be held at a cost for 1 battery. If sold in a bubble pack of 4, the cost is multiplied by 4.
Buying method The default method used to order the title from the supplier. The Buying Method indicates what the components are of the Buying Price. This default Buying Method can be overridden when the Purchase Order is created.
Qty ordered The quantity on which to retrieve buying price details. For example, if you purchase one product suppliers may charge $1 per product, however if you purchase 10 or more of the same product they charge 90c each.
List price The supplier price or cost is entered and cannot be negative or zero.
Quantity break The prices based on quantities. For example the book may be sold at $100 for the first 200 and then $80 for each Item sold after that.

Field Description 
Supplier item This is the code of the product used by the supplier to identify the item. For example: ACME BOOK may be known by suppliers as BOOK 5859.
Approval number The Approval number relates to the Quotation that has been sent to a requested Supplier by the Buyer.
Quote reference The Buyers reference number is entered relating to the quote that was sent to the requested Supplier.
Supplier pack qty This is the number of items in a pack provided by the supplier
Min order qty This is the minimum number of items to be ordered from the supplier in a single order
Order lead time The order lead time is entered when a quote is received from the requested supplier.
Buyer code The Buyer ID is required when processing quotations to various Suppliers.
Quote send date The date is used to indicate when the quote was sent to the Supplier.
  1. Enter the required data and click OK. The buying price gets added.

Upload buying price

  1. To upload from an excel file, click function Excel Upload. PUM155 Buying price upload panel appears.

Field  Description 
Location Network drive location for the excel upload file.
File name Name of the excel file containing the upload data.
Sheetname Sheetname in the excel file containing the upload data.
Buying price Id The buying price ID is user defined and is to identify different types of buying prices, for example, promotional prices and special prices and so on.
Supplier Supplier for whom the buying price is being uploaded.
Effective date  This is the date the buying price takes effect. This allows for multiple prices to be entered in advance but only take effect when the due date is reached.
Buying method The default buying method used to order the title from the supplier (can be left blank).
Status The status relates to the prices when processing quotations against each supplier. This is used with TMSDS/BP-APPR
Valid Codes are:
1 = NEED QUOTE
2 = QUOTE SENT
3 = QUOTE UPDATED
4 = ACCEPTED
5 = DISQUALIFIED
6 = OBSOLETE/DISCONTINUED
7 = NO RESPOND
Quote ref The Buyers reference number is entered relating to the quote that was sent to the requested Supplier.
  1. Ensure the Java Agent is running on your laptop and the upload file is in the default location specified.
  2. Enter the above information and click OK.  The buying price gets uploaded from the specified file/sheetname.
