Claims Control

The Distribution Claims Control system provides credit control with the necessary tools to register, monitor and approve or reject customer claims for credit. Management is provided with various reports highlighting the main problem areas. This is done by analysis of reason codes.

Customer claims can be entered into the system on a daily basis. If multiple delivery addresses for a customer exist and the user does not enter or select delivery address number the system will give warning. If the selected address is not active, it will give warning as well. Specific claims details may not be available at the time of entry but can be added at a later date. Distinction is made between physical returns and sale or return. Approved claims for returns are processed through the system producing an R/A (Returns Authorisation) which is printed and sent to the customer. Claims pending system has a combination of system and user defined pending reason codes to determine whether or not a claim transaction should pend for review.

This process handles returns receiving and updates the warehouse receipts container file.

Returns registration & loading
Consignment return entry

This process completes the process of a Loan/Consignment order on which stock has been returned. This returns transaction is treated by the system as a transfer out of the consignment warehouse into the main warehouse.

Claims reversal

This process reverses claims exceeding the expiry claim date and is included in the end of day program DSCEODG. Refer to Period End Processing user guide.

This process provides facility for automatic tracking and control of follow up actions required against outstanding credit claims.
