The Database Management module provides management with the facility to define user group access to records held on the system. The setup of the Access Masterfile for a particular User Group determines to which records access is allowed. These restrictions can be reviewed at any time.
User group access rules
- In the menu, expand Base Modules > Distribution > Masterfiles > Database Management > Database Management > Company/User > User Access and then double-click User Access Group Definition. DSM110 Work with User Group Access panel appears, listing the users groups with definitions.

| Rules | Accesses DSM110 Work with User Group Access in maintenance mode to add or change the rules of user group access |
- Click Add to add User group and its rules. DSM110 Work with User Group Access panel appears in add mode.
| Field | Description |
| User group | Enter the user group code to add. |
| Description | A description for the User Group being added. |
| Display cost | Indicate if this User group is allowed to see costs. If this field is left blank then the cost fields on the screens displaying a cost will be blank. |
| Display balance | Indicate whether the User group is permitted to see balance information. If this field is left blank then the balance fields on the screens displaying a balance will be blank. |
- Enter the above information and click OK. DSM110 Work with User group Access panel appears for rules entry.
- Enter below information for the applicable access rules.
| Field | Description |
| Rule | Select an applicable rule code from the 1-8 rule codes. |
| Field name | Select fields to be used for the selected rule. It provides selection of fields: Company, Branch, Region, Customer, Customer Status, Item, Item Hierarchy Levels, Sales Response, Status, Type of Sale and Warehouse. |
| Selection | Selection of values for the selected field. |
- Click OK to save the rules.
