A Product List is used to determine what is to be dispatched and what is being charged in a specific Bulk Run. It is preferable to give the Product List an identification number similar to the Subscription List, to identify a single title or group multiple titles together.
Separate a Renewal and a Release type of run by having two Product Lists. The naming of the Product List could then be distinguished by a suffix of REN or REL for easy identification. A Product List Type Code determines how the system processes the Titles on the List. For a Renewal, a renewal cycle is nominated and for Release a Part Increment is given. The Part Increment updates the Cycle Part field on the Sub List so it is easy to see up to which part or issue the Sub List is, as well as to advise the system the Subscription Term is complete, if applicable.
This menu option is selected prior to processing a Release or Bulk Run and is used to add, maintain and delete Titles and charges on Product Lists in preparation for release.
The publications or titles to be included on a Product List should already be created in the Title masterfile.
Add a product list
- In the menu, expand Publishing Modules > Subscriptions Management > Subs Maintenance and then double-click Subs Product List Maintenance. SMW100 Subscription Product List Maintenance panel appears.

| Close | Allows you to close a Subscriptions product list. When a product list is closed, any subscriptions linked to this product list will be closed automatically and any subscription orders linked to the subscription can be closed if control file TMSSM/RULE-CLS is set to do. The system issues a warning before closing. |
- Click Add to add a new product list.

| Product list ID | A unique code to identify the Product List. There are normally two kinds of Product Lists, one for releases and one for renewals. Indicate these differences in this Product list code. For example CPPCDREN for Criminal Practice & Procedure CD Renewals and CPPCDREL for Criminal Practice & Procedure CD Releases. One Product list can be used for both a release and a renewal in which case the ISBNs on the list need to be changed prior to a release being run. In Release Run Management if a specific Product list is required the List ID can be entered otherwise leave the field blank to select all Product lists. When releasing subscription orders enter the Product list prepared for the release or bulk run. Product Lists are classified as Releases or Renewals. It is important to select the correct list as the system handles the processing differently depending of the list type. |

| Part increment or Renewal cycle |
This controls the cycle by indicating what is to be sent out. For example, the current issue number/part number or increment number for pages is entered here. For example when a release is processed for a sub list for pages, the number of pages to be added to the total issued pages must be entered here. The Sub list term indicates for how many pages the Sub list is valid. When the number of pages released equals the number of pages in the Length field, the cycle of the Sub list increases indicating a renewal is due. An entry of 0 is permitted to cater for the possibility of an extraordinary issue being produced. |
| Release selection rule | The selection rules determines when a product list is released, which subscription order statuses defined in Control file TMSSM/SP-SEL will be selected for release.. |

- Enter all the required information on this panel
- Click OK to save the product list.
Add item to a product list
- In the menu, expand Publishing Modules > Subscriptions Management > Subs Maintenance and then double-click Subs Product List Maintenance. SMW100 Subscription Product List Maintenance panel appears.
- Select the product list and click option Items. SMW100 Subscription Product List Maintenance panel appears in maintenance mode.
- Click Add to add item to the product list. SMW100 Subscription Product List panel appears in add mode.

| ISBN |
A Product List can have a number of ISBNs linked to it. Prior to a bulk run, ISBNs for a specific run can be added to or deleted from the Product List. If this Product List is being prepared for a Renewal run, select the Renewal ISBN for the publication being renewed, not the stock Item number. One Renewal ISBN is usually established per subscription ISBN. The Invoice text can be used to advise the customer of the renewal details like the period for which they are renewing. |
| Quantity |
This is the quantity of the title to be supplied. Whether or not this quantity is multiplied by the order quantity to determine the number of titles to supply is determined by the Absolute Quantity field which is the next field. If for example 2 copies of a publication are to be dispatched, enter 2 in this field and a Yes in the Absolute Quantity field. However if a product list item to have qty = 0 this will make the item NOT to be released during a run (i.e. on hold). |
| Absolute quantity | Whether or not the quantity indicated in the previous Quantity field is a multiplier or absolute is determined by choosing either A tick in this field indicates it is an absolute quantity meaning that the quantity indicated is the quantity that will be supplied, or no tick in this field indicates it is not an absolute quantity but a multiplier, meaning that the quantity is to be multiplied by the order quantity. |
| Firm sale | If an ISBN is classified as a Firm sale title it means it cannot be returned or credited. |
| Price override | If there is a specific price for this title for a bulk run, the price entered here overrides the price on the Price masterfile. If this price is overridden, the Fixed price flag must be set to Yes. |
| Fixed price |
The flag on this field determines whether or not this subscription price can be overridden, at the time of releasing the subscription order. If a discount was entered in the previous field you must select Yes. |
| Discount override |
If a specific discount is applicable to this title for this bulk run, this discount percentage is entered here as an override. If the discount is overridden here, the Fixed Discount flag in the next field must be set to Yes. |
| Fixed discount |
The flag on this field determines whether or not this subscription discount can be overridden at the time of releasing the subscription order. Yes the discount is fixed or No the discount is not fixed. If a discount was entered in the previous field you must select Yes. |
