The Address Masterfile is used to store Customer and Contact addresses. When an address is added to the Masterfile it is automatically given an address number.
Multiple Contacts and Customers can have the same address and in order to find those Contacts and Customers with the same address a Where Used option can be performed. The Where Used option displays a list of Contacts and Customers with the same address.
IP1 standard address structure is composed of 7 address lines as described below:
- Line 0-2 is free address
- Line 3 – city
- Line 4 – state
- Line 5 – zip
- Line 6 – country

The search keys are based on the following: Melissa data – no search key required Old BNA customers – 4 5 New US & Canada format group – 3 4 5 Set up the following external validation programs ExtPgm = BNA010 (Melissa data) – if using Melissa data for delivery address validation Extpgm2 = BNO155XA (Avalara interface tax validation program) – will validate the address has a correct tax jurisdiction. |
| TMSCRM/AV-DFN1 Address Validation / Search Definition | Set length for zip code for USA format group to 5 for IP1 database. This is for IP1 internal processing only, the users can still enter zip 9. |

| TMSCRM/AV-DFN3 Address Validation 2 – Hard Error | On address validation, if an address is incorrect or not yet registered, a temporary override can be allowed with a warning. This will apply for programs not defined in this control file. If a program is defined in this control file then NO temporary override will be allowed, the program will issue a hard error. The address must be valid for that program to continue. |
Add a new address
- In the menu, expand Publishing Modules > Customer Relationship Management > CRM Maintenance and double-click CRM Address Maintenance. CRW100 Work with Address panel appears.
- Each address is given an address number automatically generated by the system when an address is added to the Address Masterfile. Select the address number to maintain or use function Add to add a new address.
- Click Add. CRW100 Work with Address panel appears in Add mode.

| Description | A description given to the address such as the Company name or Contact name to identify the address. The address description is mandatory when adding an address to the Address Masterfile. |
| Format | The format of the address is mandatory and defines if the address is a street address, PO Box or DX box. Address formats are established in TMSCRM/ADFT0. |
| Address line 0 | First line of address can be building/room number etc. |
| Address line 1 | The second line of the address is usually the street number and street name. |
| Address line 2 | The third line of the address is used to enter additional address information. |
| City/Suburb | The city or Suburb the customer/contact resides in is mandatory once the country has been entered. If the post code/zip code has been entered and a search is performed for the city/suburb all cities/suburbs valid for the post code/zip code display in the Address Prompt. The user can then select the correct city/suburb. |
| State/Province | The State/Province the customer/contact resides. For example NSW, QLD, VIC. |
| Post code/Zip code | The Post code/Zip code of the address is mandatory once the country has been entered. If the suburb has been entered and a search is performed for the post code/zip code all post codes valid for the suburb display within the Address Prompt. The user can then select the correct post code/zip code. |
| Country/Region | The country or region for the address is mandatory. |
| Status |
The status of the address is mandatory and determines if the address is active, if it no longer exists or if it is closed. Status codes are established in TMSCRM/ADSTS. |
- Enter the Description and the Format.
- Click Prompt function on Country/Region field.
- Select the country code. CRI200-Address Prompt panel appears.
- Enter the new address. You can search for suburbs and post codes once the country and state has been entered.
- Click OK to save the new address.
Find where used
The Where Used option displays a list of Contacts and Customers with the same address. An address can be used by one or more contact or by a customer.
- In the menu, expand Publishing Modules > Customer Relationship Management > CRM Maintenance and double-click CRM Address Maintenance. CRW100 Work with Address panel appears.
- Prompt and select an address and right click option Where used. CRW105 Address Where Used panel is displayed to view the contacts and customers who have the same address as selected.
- Select to view the contacts or customers with the same address with option = Detail. Contacts or Customers with the selected address is listed.
Address validation
Address validation programs will save the validated address to a backup file at the end of the process. The system will skip address validation if an address is already validated (in the backup file) or if setup to skip in control file TMSCRM/AV-DFN2 . Any programs defined in control file TMSCRM/AV-DFN3 will issue a hard error if the address is not valid.
