Auto allocation of multiple invoices

This functionality is useful if the customer has paid a range of invoices in full.  Even if one invoice somewhere in the range may not have been paid in full, by using the auto allocate feature most of the work is done by the system and only the exceptions need be manually manipulated.  Take note of how the documents are sequenced on the screen as the system will automatically allocate the payment amount starting from where the cursor is positioned and move on to all others balances below it until the entire payment amount has been allocated.

  1. In the menu, expand Base Modules > Distribution > Debtors & Claims > Accounts Receivable > Entry  and then double-click Debtor Cash/Journal Entry. ARE005 Cash Entry payment selection panel appears.
  2. Select Payment function CSH and click OK.
  3. Enter the header details and click OKARE005 Cash Entry payment detail panel appears.
  4. Position the cursor on the pay field of the invoice at which to start the automatic allocation process. 
  5. Click function Auto

The system will automatically allocate the payment amount starting from where the cursor was positioned and moves on to all others balances below it until the entire payment amount has been allocated. The transactions paid are highlighted and the Remaining amount shows as zero.  Any partially paid transaction will show the outstanding balance.
