This program checks for contact duplicates based on match keys as defined in control files TMSCRM/NA-MTKH and TMSCRM/NA-MTKY. When this routine is run, contacts appearing to be duplicates, due to the system finding matching information are displayed for review and the user then determines whether to flag the contact as an allowed duplicate or change the status of the contact to Closed for true duplicates.
- In the menu, expand Publishing Modules > Customer Relationship Management > CRM Management and double-click CRM Contact Management. CRW040 Work with Contact panel appears.
- Select the contact you which to check duplicates for and click option CK=Duplicates. CRW110 Contact Match Key panel appears in change mode.
| Field | Description |
| Match | Indicates the match key (as defined in TMSCRM/NA-MTKH) that was used to find the duplicate. |
| Sts | Current status of the contact; A=Active, C=Closed or I=In-progress. |
| Dp | Blank value indicates that the corresponding contact is a duplicate that the user needs to determine if it’s allowed to be a duplicate or not. |
| Function/Option | Description |
| O/S | Toggles between displaying only the outstanding duplicates i.e. the ones that have not been flagged with an asterisk and all duplicates. |
| Filter | Access Work with Contact Match Key generic filter screen to display subset of duplicated contacts. |
| Delete/Undelete | The delete functionality selects and highlights the record by an ‘*’ asterisk. The asterisk indicates that the duplicate is allowed. |
- If the duplicate is okay then select the contact and click Delete/Undelete option. An asterisk should appear on the Dp (Duplicate) column for the selected duplicate. This action can be reversed if required with Delete/Undelete.
- If the duplicate is not allowed then the user can change the status of the contact to C=Closed through Work with Contact CRM option.
| Note | Basically action needs to be taken for those contacts that do NOT have an asterisk in the Dp (Duplicate) column. An asterisk against the duplicate contact indicates that the contact has been checked and it is okay for it to be a duplicate. Those without an asterisk needs to be checked to determine if they are true duplicates so 1 of the 2 actions can be applied against it; i.e. either flag it with a ‘*’ or change the status of that contact to C=closed. |
- Click OK to confirm the changes.
