Debtor transaction inquiry
|
- In the menu, expand Base Modules > Distribution > Debtors & Claims > Accounts Receivable > Inquiries and then double-click Debtor Transaction Inquiry.ARI015 Debtor Transaction Inquiry filter panel appears.
- Select required billing number and click OK to display all transactions for the billing number. Any documents in the current AR Collection cycle will be highlighted.

Next Customer is used to go forwards in the customer Masterfile by displaying the customer account that is the account number after the one currently on display. To go backwards, sequentially by customer account number, the F18 function key is pressed. |
| Hide paid |
Hide paid switches between hide paid and show paid. Hide paid will exclude from the screen display, those transactions that have been paid. |
| Show |
It displays in rotation: customer reference, dissection and name. Show dissection changes the Reference column on the screen to the IL2 column, displaying the debtors dissection level. |
| Balance |
Access ARI020 Customer Balance Inquiry to inquire on customer balance. |
| Cust detail |
Access DSI070 Customer Masterfile Inquiry to inquire on customer details. |
| Hide/show trans |
Toggles between hiding and showing exchange gain loss transactions having zero value in trade currency. The transactions themselves will be identified via the payment type defined as being for realized (EXR) and unrealized (EXC) exchange transactions in control file TMSAR/BK-PAYTD. |

Customer balance inquiry
The inquiry is designed to provide immediate access to the status of customer balances and transactions. This, coupled with the interactive integration with other Iptor IP1 modules provides an effective and comprehensive method of retrieving vital and complete business information.

- In the menu, expand Base Modules > Distribution > Debtors & Claims > Accounts Receivable > Inquiries and then double-click Debtor Master Inquiry. ARI020 Customer Balance Inquiry selection panel appears.
- Enter the customer and period on which to inquire and click OK. ARI020 Customer Balance Inquiry panel displays the balance details.
- Select the following functions as required.
- Next cust – is used to go forwards in the customer Masterfile by displaying the customer account that is the account number after the one currently on display. To go backwards, sequentially by customer account number, the F18 function key is pressed.
- Movement – displays detailed information on a Month-to-Date and Year-to-Date basis, about stock movements as well as details of the last payment made. It also displays last years’ year-to-date figures and last years’ year-to-date totals. This is a good inquiry for credit reference information and credit evaluation.

Customer balance history and DSO
This inquiry displays a selected customer’s aged balances, the days’ sales outstanding and total amount outstanding per period, as well as total average days outstanding and average amounts due.

- In the menu, expand Base Modules > Distribution > Debtors & Claims > Accounts Receivable > Inquiries and then double-click Debtor DSO Inquiry. ARI025 Debtor Customer Balance History and DSO Inquiry selection panel appears.
- Enter the customer and period on which to inquire and click OK.
- Click function Right/Left to scroll through 30/60/90/120 days balance.
- To view Customer masterfile inquiry click function Cust detail.
The DSO (Days’ Sales Outstanding) is calculated by the following formula.
- Total Outstanding Amount divided by (3 months sales divided by 90).
- The 3 months’ sales is taken from the amount remaining when the credit amount is subtracted from the invoices amount.

Payment pattern analysis
This inquiry program enables analysis of the payment pattern for a selected debtor, over a period of time.

- In the menu, expand Base Modules > Distribution > Debtors & Claims > Accounts Receivable > Inquiries and then double-click Payment Pattern Analysis. ARI030 Payment Pattern Analysis selection panel appears.
- Select required customer and period on which to inquire and click OK.
- Click function Curr to display the figures in either trade or base currency.
- Click Page1/Page 2 to display next or previous page of pattern.

Payment inquiry
The Payment inquiry is used to inquire on payment details using a filter screen to streamline the information accessed.

- In the menu, expand Base Modules > Distribution > Debtors & Claims > Accounts Receivable > Inquiries and then double-click Debtor Payment Inquiry. ARI035 Payment Inquiry filter panel appears.
- Enter the required filter details and click OK. Payment inquiry details are listed.
- Select the required line and right click on the following options as required.
- Detail – to access Payment Inquiry in inquiry mode to inquire on payment details
- Allocation – to access ARI035 Debtor Transaction Inquiry to inquire on Debtor transactions, invoice details, diary text
- Print Receipt – to access XAR900 for printing the receipt.

Order payment inquiry
The Order payment inquiry takes an order with an outstanding document type and a process number and displays all payments related to the given order.

- In the menu, expand Base Modules > Distribution > General Inquires > Document Inquiries and then double-click Order Document Search Inquiry. DSI915 General Order Selection/Inquiry selection panel appears.
- Select a document and click option Orig document. DSI120 Transaction Inquiry panel appears.
- Click function Payment. ARI050 Order Payment Inquiry panel appears.
- To view the bank reference details select the AR document and click option AR detail.

Draft masterfile inquiry
This inquiry function displays drafts and letters of credit stored in the system, by customer number.

- In the menu, expand Base Modules > Distribution > Debtors & Claims > Accounts Receivable > Inquiries and then double-click Debtor Draft and L/C Inquiry. DSI340A Draft Masterfile Inquiry selection panel appears.
- Select a valid debtor number and click OK. List of drafts and letters of credit appears.
- Select relevant draft/letter of credit and click option Select draft. DSI340C Draft Masterfile Inquiry panel displays the details of the selected draft/letter of credit.

GL transaction link inquiry
This program is used to inquire about journal entries that relate to a transaction.

- In the menu, expand Base Modules > Distribution > Debtors & Claims > Accounts Receivable > Inquiries and then double-click Debtors Transaction Inquiry. ARI015 Debtors Transaction Inquiry panel appears.
- Key in billing number and click OK. List of transactions for the billing number appears.
- Select a document and click option Transaction. DSI120 Transaction Inquiry panel appears.
- Select item and click option Jnl source. GLI370 G/L Transaction Link Inquiry panel appears.

Overdue debtor inquiry
Displays AR summary information for customers in overdue balance sequence.

- In the menu, expand Base Modules > Distribution > Debtors & Claims > Accounts Receivable > Other and then double-click Overdue Debtor Inquiry. ARI060 Overdue Debtor Inquiry panel appears.
- Key in Company, Period and Overdue month.
- Click OK. List of debtors by overdue balance appears for the selected company/period.
| Note |
1. Overdue month selection is optional, but if entered, it acts as the the aging bucket so that if Debtor Transaction Inquiry ARI015 (option=Transactions) is called, it will display the transactions belonging to that age bucket only.
2. History date field on the inquiry listing is today’s date less the number of days defined in control file TMSAR/ARI060. The inquiry will filter out debtors with customer history entry type in TMSAR/ARI060 and if there is contact made regarding payment within the history date and today’s date.
