Work with User

A user or resource in IP1 can be internal or external to whom issues and tasks are allocated to. Users are added to Resource masterfile. Users can be assigned to complete specific tasks within IP1 system. Certain functions in IP1 are user access controlled where only only certain users have access.

Add a user 

  1. In the menu, expand Base Modules > Distribution > Masterfiles > Database Management > Database Management > Company/User > User Access  and then double-click Work with UserCRW020 Work with User panel appears, listing the existing users in the system.

Option Description
Creditor Accesses Contact Creditor in change mode to maintain contact creditor details.
Contact Accesses Work with Contact in change mode to maintain the contact details for the selected user.
Contact Attr Accesses Work with Contact Attributes in change mode to maintain contact attributes for the selected user.
Contact Address Accesses Contact Address to maintain or inquire on Contact address details.
Ext User Accesses Work with External User in change mode to maintain external user details.
Contact type Accesses Work with Contact Type in change mode to maintain contact type details.
Contact UDF Accesses Contact extended information in change mode to maintain the additional information about the user.
Interest Accesses TYM180 Contact Interest in maintenance mode to maintain applicable interest codes.
Duplicates Access CRW110 Work with Contract Match Key which checks for contact duplicates based on match keys as defined in control files TMSCRM/NA-MTKH and TMSCRM/NA-MTKY.
Opp Accesses Work with Opportunity to maintain sales/marketing opportunities.
Seminars Access work with seminar in change mode to maintain venue, date and description of the seminar for the selected user
Resource Detail Accesses Work with Resource in change mode to maintain the resource definition.
Assignment Accesses Work with Resource Access to view a list of assignments for the Resource. Assignments are those incidents the resource is working on in replacement of another resource.
Replacement Access Work with Resource in change mode for reassignment of tasks to the resource.
Dsp resource Access Work with Resource in display mode to show resource details.
Order Entry Normal sales order via picking slip can be placed by the selected resource.
Note Tab options are dependent on the user settings.
  1. Click Add to create a new user. CRO055 Contact Creation panel for selecting a contact type for the new resource is displayed.
  2. Select the contact type. CRW055 Work with Contact  panel appears in add mode.

Fields Description
Contact ID System generated ID for the new contact being created.
Company code The company the contact belongs to.
Currency Currency which the contact accepts.
Salutation A salutation defines an expression of respect such as Mr, Mrs, Miss, or Sir. A salutation is mandatory and will be the preferred greeting of the sales contact person and is also used as part of a user identification.
Given name/Middle name/Family name Name details as applicable.
Name suffix This is an optional entry of a suffix given to a name such as Jnr, PHD etc.  For example: Mr Cuba Gooding Jnr where Jnr is the suffix.
Phone/Fax/Mobile/Email Enter these optional details as applicable.

Fields Description
Contact dept The department the contact belongs to within the company.
Contact pos This is the contact’s position within the company.
Qualification Any qualifications for the contact can be entered here.
Title Any other title for the contact.
Pref language Preferred language used by the contact.
Search field This is an optional search field, could be a reference used to search for the customer.
Contact status  The status of the contact. Contact status codes are established in TMSCRM/CR-STS.  Valid choices are:

  • Active
  • Closed
  • In progress

  1. Enter the required information and click OK to confirm. CRW060 Work with Contact Attributes panel is displayed. Work with contact attributes deals with the attributes assigned to contacts. These attributes can be payment types, sales rep code, interest codes etc.

Add an external user 

  1. In the menu, expand Base Modules > Distribution > Masterfiles > Database Management > Database Management > Company/User > User Access  and then double-click Work with UserCRW020 Work with User panel appears, listing the existing users in the system. 
  2. Select the contact and right click option Ext user. CRW055 External User panels appears.
  3. Enter the following information as required for the external user.
Field Description
User ID This User ID identifies an external user to the system and is the ID used on the sign on screen
Password Password allocated to the user giving them to access the system.
Access type This determines the access type allowed for the External user.
Order Acknwldg Determines when order acknowledgement is sent to the user. For example details are sent on entry only. Order Acknowledgement levels are established in TMSDS/WA-ALVL.
User status Determines the status of the external user. Valid choices are:

  • Active
  • Stopped
  • Closed
Primary role ID This determines the primary role for the external user. For example Administrator, Full access user, limited access user.
  1. Click OK to save the changes. The external user details are added to the selected contact.
