Personal Information Management system in Iptor IP1 allows customers, contacts and creditors to have their personal information (PI) removed on consent. PI constitutes any information related to a person that can be used to identify that person. The PI fields to be removed is setup in control file ********/PI-DATA.
The following data files in Iptor IP1 is covered for personal data removal.
- Debtor details and related sales and AR transactions
- Contact details and related sales and AR transactions
- Cash sales and AR transactions
- Creditor details and related AP transactions and Royalty contracts
- Miscellaneous AP transactions
When a request for PI removal is created in IP1 system (PI opt out), the request can pend for approval as per ********/PI-PEND. Due dates can be maintained for removal at a later date. The end of month process will check if there is any outstanding transactions for the entity as well as the due date (retention period) before removing any PI. The type of data to be removed is setup in ********/PI-DATA.
If a request has not been updated, then PI opt in option can be taken to avoid the removal of PI. After the personal data has been removed by the EOM process, it can no longer be retrieved. Refer to SOP – Personal Information Management for the process flow & setup details.
