Templates are created to establish default values for various fields in the masterfile and whether these fields can be overridden. If a user is restricted to using a template when opening a new customer account, TMSDS/LA-CMMUT – Limited Access – Mandatory “type” on Customer File needs to be setup accordingly.

During maintenance of a customer, TMSDS/LA-CMMU – Limited Access – CM Maintenance Users is checked to establish whether the user is a limited access user and therefore which fields this user is allowed to access.

If a customer has multiple delivery points, whether or not to open an account for each delivery point depends of the sales analysis requirements. One customer account can have multiple delivery addresses. If one account is setup with multiple delivery addresses, no sales analysis is available by delivery address.

For Accounts Receivable processing, multiple accounts can be linked to one Billing Account.

The Customer Masterfile can be linked to the Direct Mail module via a Function Key option which is activated by the setup in TMSDS/CM-DMAC – Allow Direct Mail Access.

Access can be gained to the Customer Masterfile via Sales Order Entry. This is controlled by settings in TMSDS/OE-ADDC. By User, there is a facility to nominate whether maintenance can be done to existing customer accounts or only new accounts added, or no access what so ever to the Customer Masterfile. The limited access rule still applies.

TMSDS/CM-XTRP determines when to call Extra Processing, at detail time or last. It also determines whether to call Extra Processing before Title Classification and/or after.

Bookshop Credit Limits

The Credit limit functionality allows customers to be linked to a central billing account. These account customers can have their own unique credit limit and all transactions billed back to the central Billing Number.

The central Billing Account is set up as a normal Billing account and this account is linked to each sub account via Linked Account Maintenance. An example of linking accounts in this way is linking students to the central bursary billing account where each student has a credit limit to the value of the bursary. The student accounts are normal customer accounts.

Purchases will not exceed the individual credit limit, when purchases are made this will decrement the customer’s or student’s available credit and returns will increase their limit.

This will ensure that customers/students do not overspend. The transactions are captured at both customer and billing levels. The statement will display all purchases for each customer/student to substantiate the payment.

The Debtor Class is used with rules attached to update the available credit for the customer accounts (or student as per the example given earlier) and also to identify these types of accounts for statement formatting purposes and cash collection purposes.

A reset/initialisation function sets or withdraws the available credit for all customers/students linked to a selected account. The credit limit can be changed at any time.

The credit limit of a customer is available on the sales/returns screen when the customer is linked to a transaction decrementing and increasing as a sale or return is made. Customers who have a credit limit specified are not bound to their account and can pay for goods upon collection.

TMSDS/CM-CLS defines a customer as a bursary customer. This is used in conjunction with TMSDS/OE-BURS which is flagged to check for bursary customers.
