Sales report upload

This process will allow you to upload a MS Excel file with the interface data and process it to generate Accounts Receivable and Accounts Payable interface records.

Excel template (DSO415.xlsx) with all the relevant system fields that are required in the processing of the interface file is provided by Iptor. This template and excel date file must exist in the relevant system folder.

There are 4 different report types as listed below. Each of these report types have mandatory and optional field requirement.

  1. Online sales
  2. Consignment sales   
  3. Distributor sales
  4. POD charges

Once the data is uploaded, validated and processed from the excel file, you will be able to display the generated AR and AP interface records and be able to post the transactions to AR and AP. Depending on the report type, the back end process can be different when the transactions are posted to IP1.

Online sales – this is a charge only invoice since the products has already been delivered and there is no need to update stock in the warehouse.

Consignment sales – this is an already delivered sale that requires decrementing of stock in the consignment warehouse.

Distributor sales – this is an already delivered sale that requires updating of stock in the distributor specific warehouse.

POD charges – this will generate an AP invoice to the POD supplier for the print and customer delivery service.

  1. In the menu, expand Base Modules > Other options > Data Interfaces > DSR  and double-click Sales Report Upload. DSO415 Sales Report Upload panel appears.

Field Description
Mode Select the mode to be used. You can either upload and post now or upload only and post later.
Location The file location (path) will be derived from the data exchange set up in the system as defined in control file ********/DE-SVR.
Filename Specify the name of the excel file stored in file location path displayed.
Sheetname Sheetname will be automatically taken from the specified Excel file if only one sheet name exists, otherwise the user will be prompted to enter the sheetname.
Period The current distribution open period will be displayed and can be overwritten. This will be the period on the generated transactions.
Report ID The Report ID (defined in TMSDS/SR-ID) that is selected here will determine the report type for the incoming data and will be used in creating the appropriate interface file.
Customer reference Defaults from the excel sheet name but can be overridden. For consignment sales (report type 2), the customer reference must exist in the consignment balance file for those consignment that are controlled by customer/reference.
Control total The document control total can also be entered. If entered, the total sum of all the transaction records must equal the entered document control total.
  1. Enter the above information, as necessary.
  2. Click OK. The data will be validated and then depending on the specified mode it will be uploaded or uploaded and posted. If there are errors the interface file can be uploaded again to re-generate the interface records. Only valid transactions will be posted with upload & post mode.
